Match the reply to the question
Check whether support identified the correct order, service, and disputed field. A fast response that discusses a different target does not resolve your request. Restate the missing detail politely and keep the original evidence in the thread.
Look for an actionable outcome
A useful reply explains the current state, applicable condition, or required next step. If it provides a timing estimate, record whether that is a target, an estimate, or a documented commitment. Do not convert vague wording into a promise to your own client.
Record what remains open
Close only the portion that has been answered. A billing explanation may resolve the charge while a delivery question remains unsettled. Give each unresolved item a clear owner and follow-up condition to avoid repeatedly sending the same general complaint.
Decision checklist
| Decision | What to check |
|---|---|
| Identity | Correct purchase referenced |
| Answer | Specific issue addressed |
| Next step | Defined remaining action |
Worked example
A hypothetical reply confirms that a $2 difference came from a rate change but says nothing about the requested cancellation. The billing question can be marked explained; the cancellation outcome still needs a separate explicit answer.
Example figures explain the decision; they are not current prices or promised results.
