Preserve the original coverage
Keep the service ID and stated replacement conditions with the order. A current catalog description may differ from the terms attached to a previous purchase, so retain a dated copy where possible.
Build the timeline
Record submission, completion and the observation that prompted the request. Include account changes and overlapping purchases because support may need them to understand what happened during the relevant period.
Request a terms-based review
Describe the issue and ask whether the recorded situation qualifies. Do not assume that a refill label means unlimited replacement forever or that any later decline must be corrected without checking the actual conditions.
Decision checklist
| Decision | What to check |
|---|---|
| Terms | Original coverage and service identifier |
| Dates | Completion and later observation |
| Scope | Eligibility under the documented conditions |
Worked example
Hypothetically, a buyer observes a decline after an order completed two weeks earlier. The buyer checks the saved coverage window and sends the original reference with dated evidence. The elapsed time is compared with the terms rather than treated as automatic eligibility.
Example figures explain the decision; they are not current prices or promised results.
