Use a campaign reference
Assign every approved purchase an internal reference that identifies the client and campaign without exposing unnecessary personal information. Store the panel's order identifier alongside it. A shared account username cannot provide this separation by itself.
Restrict cross-campaign assumptions
Do not reuse a target, quantity, or service choice from one client's order merely because another brief looks similar. Confirm the relevant approval each time. Shared purchasing infrastructure should not turn separate client budgets into a single unrestricted spending pool.
Reconcile by client and account
Review each campaign's charges and credits, then compare their total with the account ledger. Both views matter: campaign accuracy can coexist with an unexplained account balance difference. Resolve the mismatch before issuing final client statements.
Decision checklist
| Decision | What to check |
|---|---|
| Reference | Client campaign key |
| Approval | Purchase-specific authorization |
| Reconciliation | Client and account totals |
Worked example
A hypothetical shared account spends $30 on campaign A and $45 on B. A $5 credit linked to B reduces B's net spend to $40, not A's. The combined net spend is $70, with the credit traceable to its original purchase.
Example figures explain the decision; they are not current prices or promised results.
