Record ownership of budgets
Assign each approved client amount to a campaign ledger before making a shared account deposit. A single panel balance does not explain which client authorized which purchase. Keep customer references separate from the panel's order identifiers.
Recognize spending when ordered
Record the actual charge against the relevant campaign when the order is placed. Funding the account is not the same event as consuming the client's service budget. Keep unspent allocations visible instead of marking every deposited amount as delivered work.
Reconcile shared balance
Compare opening balance, deposits, order charges, confirmed credits, and closing balance. Investigate differences before quoting remaining client budgets. Do not transfer one client's unused allocation to another campaign without the required authorization.
Decision checklist
| Decision | What to check |
|---|---|
| Funding | Account-level movement |
| Allocation | Client-approved budget |
| Consumption | Specific order charge |
Worked example
A hypothetical account receives $100 allocated as $60 to client A and $40 to B. If A's orders cost $45 and B's cost $25, $30 remains: $15 belongs to each unused campaign allocation.
Example figures explain the decision; they are not current prices or promised results.
