Create one source of truth
Use a single approved record for target, action, quantity, budget, and timing. Avoid passing fragments through several messages that operators must combine. Keep amendments attached to that record rather than replacing instructions informally.
Check the submission fields
Before placing the order, confirm that the selected listing accepts the target and requested quantity. Flag any difference between the approved brief and current service conditions. The operator should not improvise a replacement simply to complete the handoff quickly.
Return the accepted reference
After submission, add the panel order identifier, actual charge, and timestamp to the same record. This closes the gap between a client's approval and the external purchase. If submission fails, record that outcome instead of marking the task placed.
Decision checklist
| Decision | What to check |
|---|---|
| Brief | Approved field set |
| Check | Current listing eligibility |
| Return | Accepted order reference |
Worked example
A hypothetical account manager approves 800 units on a specific link. Operations finds the service minimum has changed to 1,000. The handoff pauses for a revised decision rather than quietly increasing quantity and later explaining the extra charge.
Example figures explain the decision; they are not current prices or promised results.
