Rebuild the expected amount
Use the exact rate and unit basis shown for the selected service at the relevant time. Confirm the quantity accepted by the panel. A rate per thousand, fixed package price, and duration-based charge require different calculations.
Identify additional movements
Review deposits, other orders, and confirmed credits around the same time. A balance difference may include several transactions. Avoid attributing the entire change to one order until the ledger entries have been separated.
Request the missing explanation
Provide the calculation and the recorded deduction, then ask which input or rule explains the difference. Keep the language factual. If the rate changed or a minimum charge applied, save the explanation for future quote calculations instead of repeating the same assumption.
Decision checklist
| Decision | What to check |
|---|---|
| Expected | Rate-based calculation |
| Actual | Specific ledger deduction |
| Difference | Unexplained amount |
Worked example
A hypothetical balance falls from $20 to $13, but the questioned order costs $5 and another accepted order costs $2. The $7 balance movement does not show a $2 overcharge on the first order; it reflects two transactions.
Example figures explain the decision; they are not current prices or promised results.
