Save the quote context
Record the service identifier, rate basis, quantity, and time of the original estimate. A service name alone is not enough because several listings may share similar labels. Include the terms used to determine the quoted scope.
Recalculate the difference
Use the current rate for the same quantity and service conditions. Check whether only the price changed or whether minimum quantity, targeting, or refill coverage changed as well. A different package should not be described as a simple price adjustment.
Get the right approval
If you purchase for someone else, establish an approval threshold before ordering. Either absorb a permitted difference within your agreed budget or request a revised approval. Do not quietly change quantity or switch service quality to preserve an outdated total.
Decision checklist
| Decision | What to check |
|---|---|
| Original | Saved rate and time |
| Current | Matching service scope |
| Decision | Approved revised amount |
Worked example
A hypothetical quote used $3 per thousand for 5,000 units, totaling $15. The current rate is $3.40, totaling $17. The difference is $2; reducing the quantity would be a separate scope change.
Example figures explain the decision; they are not current prices or promised results.
