Specify the quoted inputs
Record service scope, quantity, billing basis, and any included agency work. Identify which amount represents the underlying purchase and which represents your own charge where your commercial model requires that distinction. A quote should explain the actual offer.
Define when to recheck
Choose a clear validity period or state that price and availability are confirmed before acceptance. Do not promise that a supplier's rate will remain unchanged unless you have a basis for that commitment. Review both price and service terms at the purchase point.
Handle expired approvals consistently
If a client accepts after the stated validity, refresh the quote rather than silently applying old assumptions. Explain material changes and obtain the necessary approval. Keep the earlier version so the conversation remains traceable.
Decision checklist
| Decision | What to check |
|---|---|
| Inputs | Quoted scope and quantity |
| Validity | Recheck condition |
| Revision | Material changes highlighted |
Worked example
A hypothetical quote covers 4,000 units at an underlying rate of $2 per thousand. If the rate becomes $2.50 before acceptance, the underlying cost rises from $8 to $10. Whether your final price changes depends on the quote terms you agreed.
Example figures explain the decision; they are not current prices or promised results.
